It describes what we collect, why we use it, who we share it with, how long we keep it, and the choices and rights you may have under applicable law.

1. Scope and Key Terms
This Privacy Policy describes how KeySnapshots ("KeySnapshots," "we," "us," or "our") collects, uses, discloses, stores, and otherwise processes personal information when individuals access or use our websites, gallery access tools, QR and code redemption flows, studio dashboard, support channels, ecommerce features, and related applications, products, and services.
KeySnapshots acts as a controller for our own operations and may act as a processor or service provider where photographers use the Services for their own customer relationships.
2. Categories of Personal Information

KeySnapshots collects personal information that is reasonably necessary to operate the Services, comply with legal obligations, protect our interests, support photographers and customers, and maintain a high-quality platform experience.
3. Technical Data, Cookies, and Monitoring
When you use the Services, we automatically collect some technical information, such as the pages you visit, your device and browser type, your IP address, and error reports, using server logs, local storage, cookies, and similar technologies.
Cookies that keep you signed in, remember your preferences, and protect the Services are always on. Analytics and marketing cookies are used only if you allow them, and you can change your choice at any time from Cookie Preferences at the bottom of every page. Our Cookie Policy explains each type in detail.
4. Sources of Information
We collect personal information directly from you when you create an account, submit forms, contact support, redeem a code, make a purchase, subscribe to communications, or otherwise engage with the Services.
We may also receive personal information from photographers (for example, the photos and gallery details they upload), payment processors such as Stripe, sign-in providers such as Google, analytics providers, and vendors that support our operations.
5. How We Use Personal Information
We use personal information to provide, operate, maintain, secure, and improve the Services; authenticate accounts and manage sessions; administer subscriptions and customer relationships; create and manage galleries and redemption flows; process transactions and fulfill orders; and respond to inquiries and support requests.

- process subscription charges, customer orders, refunds, and related confirmations;
- send security alerts, account notifications, operational messages, and support responses;
- deliver booking requests to the photographer you choose and send notifications you ask for, such as when your photos are ready;
- create aggregated, de-identified statistics about photography services, such as typical prices, demand, reply times, and booking trends by area;
- measure engagement, diagnose errors, and improve the performance and reliability of the Services.
6. How We Disclose Personal Information
We may disclose personal information to affiliates, contractors, and service providers that perform functions on our behalf, including hosting, cloud storage, analytics, communications delivery, billing, payment processing, customer support, fraud prevention, and order fulfillment.
We may also disclose personal information to comply with law, regulation, court order, subpoena, lawful request, or other legal process, or when disclosure is necessary to protect the rights, property, safety, or security of KeySnapshots, our users, or others.
7. Aggregated and De-identified Information
We may combine information from many users and remove details that identify anyone, so that it can no longer reasonably be linked to a particular person, photographer, or device. Examples include typical prices by area, how often people search for a type of session, and average reply and booking times. Information in this form is not personal information.
We may use aggregated, de-identified information for any lawful purpose, including to improve the Services and to show photographers how they compare with others nearby. Before we publish, share, license, or sell statistics, reports, or other products built from it, we:
- combine data from at least five photographers, and group small towns into a larger region or the whole country when there is not enough data;
- remove names, contact details, messages, photos, and anything else that identifies a person or business;
- keep the information in de-identified form and do not attempt to re-identify anyone; and
- require anyone we license or sell it to not to attempt to re-identify anyone.
8. Data Retention
We retain personal information for as long as reasonably necessary to fulfill the purposes described in this Privacy Policy, including to provide the Services, maintain business and financial records, resolve disputes, enforce agreements, prevent fraud, comply with legal obligations, and preserve evidence relevant to claims or investigations.
Gallery photos are temporary. Photos in a gallery are deleted from the Services 72 hours after the photographer uploads them. We may keep related records, such as orders, photo reports, and booking requests, after the photos are gone. Copies that were already downloaded are not affected.
9. Security
We implement administrative, technical, physical, and organizational safeguards designed to protect personal information against unauthorized access, disclosure, alteration, loss, and destruction.
No security program, however, can guarantee absolute security, and no method of transmission over the internet or method of electronic storage is completely secure.
10. Your Choices
You may update certain account information by logging into your account and editing your settings, and you may opt out of marketing emails by using the unsubscribe mechanism included in those communications.
Depending on where you live, you may have the right to ask for access to, correction of, or deletion of your personal information. To make a request, email privacy@keysnapshots.com. We may need to verify your identity before we respond.
